π Duties
- β’ The successful candidate will be responsible for, amongst others, the following specific tasks: Provide clerical support service in the unit
- β’ Liaise with travel agencies to make travel arrangements (check arrangements when relevant documents are received)
- β’ Arrange meetings and events for the manager and the staff in the unit
- β’ Identify venues, invites role players, organizes refreshments and set up schedule for meetings and events
- β’ Process travel and subsistence claims for the unit
- β’ Processes all invoices that emanate from the activities of the work
- β’ Record basic minutes of the meeting to the unit where required
- β’ Draft routine correspondence and reports
- β’ File documents for the unit and the unit where required
- β’ Administer matters such as leave register and telephone accounts
- β’ Receive, records and distribute all incoming and outgoing documents
- β’ Handle procurement of standard items like stationary and refreshment etc
- β’ Collect all relevant documents to enable the line managers to prepare for meetings
- β’ Conduct asset audit with other administrative officials in the unit
- β’ Administer the budget of the unit
- β’ Monthly report to the meeting on the on the budget
- β’ Ensure the effective compilation of budget and cash flow projections for the Office
- β’ Coordinate the budget of the unit
- β’ Ensure effective risk and compliance
